Cancellation and Refund Policy
CNA Program Refund Policy
Refunds are not available once a student logs into and accesses the online course. Access to online content is considered the official start of the program. No refunds will be issued after course access.
General Refund Policy
Refund calculations are based on the scheduled class calendar and the student’s last date of attendance. Leaves of absence, suspensions, and school holidays are not included in attendance calculations.
The official termination date for refund purposes will be the earliest of the following:
- The student’s last date of attendance if dismissed by the school
- The date written notice of withdrawal is received from the student
- Ten (10) days after the student’s last date of attendance
Refund Details
- Application fee ($50), materials fee ($50), and background check fee ($100) are non-refundable once processed.
- If a textbook has been issued or received, the book fee is non-refundable.

Before Accessing the Online Course:
- Withdrawal within 72 hours of payment: 100% refund
- Withdrawal within 3 days of payment: 50% refund
- Withdrawal within 5 days of payment: 25% refund
- After 6 days from payment: No refund
- After Accessing the Online Course: No refund
Skills & Clinical Attendance
Completion of the CNA program requires 40 hours of clinical training. If a student misses a scheduled clinical session, the session is forfeited and make-up sessions are not guaranteed.
Leave of Absence Policy
Students may request one leave of absence per program for up to two (2) months. Failure to return within the approved period will result in program termination without refund. All leave requests must be submitted in writing to admin@dmscaretraining.com.
Conduct & Disciplinary Dismissal
The school reserves the right to dismiss a student for inappropriate conduct (misbehavior). In cases of dismissal, refunds will be processed in accordance with the General Refund Policy and Refund Details above. If online course access has occurred, no refund will be issued.
- Disruptive group behavior or actions that interfere with instruction or training
- Disrespectful, threatening, or inappropriate conduct toward instructors, staff, or fellow students
- Use of school property (including skills lab or clinical equipment) for non-academic or personal purposes
- Repeated violation of safety protocols or institutional policies
Military Withdrawal Policy
Students withdrawing due to active duty service in the United States Armed Forces or Texas National Guard may choose one of the following options:
- Pro-rata refund of tuition and fees
- Grade of incomplete with re-enrollment permitted within one year after discharge without additional tuition
- Final grade if 90% or more of the coursework has been completed
Refund Processing
All refunds will be processed and issued within sixty (60) days from the official termination date.
Other Program Refund Policy (PCT/A, CPT, Pharm Tech, EKG Tech, MAA, CCMA)
General Refund Policy

Refund Details
- No refund after logging into the online course
- Application fee ($50) is non-refundable
- If a textbook has been issued or received, the book fee is non-refundable
- Book fees (non-refundable):
- CPT, EKG, MAA: $150
- CCMA, PCT/A, Pharm Tech: $300
- Before Online Access:
- Before class start: Full tuition refund (excluding application and book fees)
- Within 3 days after class start: 50% tuition refund with signed non-disclosure agreement
- After 3 days from class start: No refund
- Pro-rata refund applies only if the student has not logged into the course
- ID cards, books, and tools are non-refundable once purchased
Full Refund Eligibility
- If the student is not accepted by the school
- If the program is discontinued and cannot be completed
- If enrollment resulted from verified misrepresentation in advertising or promotion
Voluntary Withdrawal
All refund requests must be submitted in writing to admin@dmscaretraining.com.
Clinical & Skills Policy
- Missed skills sessions are forfeited and not guaranteed to be rescheduled
- Phlebotomy certification requires four (4) days of required clinical practice

Group Class Policy
- No make-up classes for absences
- Course materials remain accessible through the DMS virtual campus for two (2) months
- Group size: Minimum 3 students – Maximum 10 students
- If enrollment drops to one student, the class may convert to private instruction (time/tuition adjustments may apply)
Military Withdrawal Policy
- Pro-rata refund of tuition and fees
- Re-enrollment within 12 months without additional tuition
- Final grade awarded if 90% or more of coursework completed
